DocAIToolbox (“DocAIToolbox”, “DocAI Studio”, “we”, “us”, or “our”) operates the DocAI Google Workspace Add-on, DocAI Studio, and related services (“Services”). This Privacy Policy explains how we collect, use, process, store, and protect information when you use our Services.

Depending on the Service you use, we may collect:

We do not use Google Workspace API data or Google user data to develop, improve, or train generalized artificial intelligence (AI) or machine learning (ML) models.

Google Workspace Add-on Data Handling

The DocAI Google Workspace Add-on only accesses content explicitly selected by the user.

We do not access, read, store, or process entire Google Docs™, Google Sheets™, or other Workspace files unless required to fulfill a user-initiated action.

Selected content may be temporarily processed to provide requested functionality such as:

  • Translation
  • Audio generation
  • AI processing
  • Transcription
  • Image generation

For Google Workspace Add-on requests:

  • Content is processed transiently and only as necessary to fulfill the request
  • Content is not retained after processing is completed
  • Content is not used for analytics, advertising, profiling, or AI model training

Our application’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.


DocAI Studio Data Handling

DocAI Studio allows users to upload and process media files such as audio, video, voice samples, and related content.

Uploaded content may be processed to:

  • Generate speech or voice outputs
  • Translate media
  • Create subtitles or transcripts
  • Detect clips or segments
  • Generate AI-assisted content
  • Upload content to connected third-party platforms

Unlike the Google Workspace Add-on, DocAI Studio may temporarily store uploaded files and generated outputs to provide ongoing user access and workflow functionality.

Retention periods may vary depending on subscription plan and operational requirements. Typical retention periods may range from 30 to 60 days unless otherwise stated.

Users are responsible for downloading and maintaining their own permanent backups.


YouTube and Google Account Access

If you connect your Google account, DocAIToolbox or DocAI Studio may request permission to access certain Google or YouTube features on your behalf.

For example, if authorized by you, the Services may:

  • Upload videos to your YouTube account
  • Update video metadata such as titles or descriptions
  • Access limited account information required for authentication

We only use granted permissions to perform actions explicitly initiated or requested by the user.

We do not access, analyze, or modify YouTube content beyond what is necessary to complete the requested functionality.

You can revoke Google account access at any time through your Google Account permissions settings:

AI Processing and Third-Party Providers

To provide core functionality, uploaded or selected content may be processed by trusted third-party providers acting on our behalf.

These providers may include:

  • OpenAI
  • Google Cloud
  • Stripe
  • DigitalOcean
  • Cloud infrastructure providers
  • AI or media processing providers

Third-party providers process data solely to provide requested functionality and are contractually required to protect user data.

We do not permit third-party providers to use customer content for unrelated advertising purposes.


Storage, Security, and Access Protection

We implement reasonable administrative, technical, and organizational safeguards designed to protect user information, including:

  • HTTPS encryption in transit
  • Encrypted token storage
  • Access controls
  • Signed or temporary file access URLs
  • Infrastructure security monitoring

OAuth access tokens and refresh tokens are stored securely and used only to perform authorized actions requested by users.

No system can guarantee complete security, and users remain responsible for protecting their credentials and account access.


Data Retention

Google Workspace Add-on

Selected Workspace content is processed transiently and is generally not retained after request completion.

DocAI Studio

Uploaded files and generated outputs may be temporarily retained to support workflows, downloads, project access, support operations, fraud prevention, and service reliability.

Data may persist temporarily in backups, logs, or recovery systems for operational or legal purposes.

Account and billing records may be retained as required by law, fraud-prevention obligations, tax requirements, or legitimate business operations.


Sharing and Disclosure

We do not sell or rent personal information.

We may disclose information only:

  • With your consent
  • To trusted subprocessors operating on our behalf
  • To comply with legal obligations
  • To enforce our terms or protect the security and integrity of the Services

User Rights and Account Deletion
